Position Summary

The Team Assistant plays a crucial role in ensuring the smooth and efficient operation of our clinical team. This position is responsible for scheduling staff, providing administrative support, and facilitating effective communication with patients, physicians, and staff.

Key Responsibilities

  • Scheduling: Coordinate staff schedules, track daily schedules, and assign patients to appropriate team members.
  • Communication: Receive and triage team phone calls, respond to inquiries, and maintain effective communication with field staff and the Clinical Team Manager.
  • Administrative Support: Schedule meetings, take minutes, ensure timely workflow processes, and provide general administrative support.
  • Documentation: Type, proofread, and send correspondence, create and maintain documents, and compile reports.
  • Logistics: Prepare lab requisitions, order and maintain office supplies, establish on-call schedules, and assist with preparations for weekend work.
  • Compliance: Adhere to confidentiality policies, provide exemplary customer service, and demonstrate accountability and follow-through.

Minimum Qualifications

  • Education: Associate's degree in business or related field.
  • Experience: 2-3 years of relevant clerical and administrative experience.

Performance Requirements

  • Efficiency: Ensure timely completion of tasks, such as scheduling admissions, tracking referrals, and processing transfers.
  • Collaboration: Work effectively with the interdisciplinary team to meet clinical, patient satisfaction, and financial goals.
  • Organization: Maintain accurate records, organize files, and create clear and concise documentation.
  • Communication: Communicate effectively with patients, physicians, staff, and other stakeholders.
  • Attention to Detail: Ensure accuracy in scheduling, documentation, and administrative tasks.
  • Professionalism: Adhere to confidentiality policies, provide exceptional customer service, and demonstrate a commitment to the team and patients.
