Job: Outpatient Clinic Clerk

Job Summary:

A clinic clerk is an administrative professional who works in healthcare environments like outpatient clinics, medical centers, or doctor's offices. Their focus is on administrative support and patient-facing duties to ensure the smooth operation of the clinic. Will work in variety of specialty areas including but not limited to Chemotherapy, Orthopedics, Cardiology, Infusion Therapy, and Gynecology.

Normal Work Hours:

Varies based on assigned clinic 0700-1530 or 0730-1600.

Scheduled days are Monday through Friday based on need.

Minimum of 40 hours scheduled per two week pay period.

Key Responsibilities

  • Greet and register patients 
  • Verify insurance and personal information 
  • Provide forms and collect required documents 
  • Book, reschedule, or cancel appointments 
  • Coordinate follow-ups or referrals 
  • Manage the daily clinic calendar 
  • Maintain and file patient records (often in EMR systems) 
  • Ensure records are complete and up to date 
  • Handle requests for medical information (e.g., release of information forms) 
  • Collect co-pays or fees 
  • Process insurance information and assist with claims 
  • Answer billing-related questions 
  • Answer phones, emails, and in-person inquiries 
  • Relay messages between patients and healthcare staff 
  • Provide basic information about clinic procedures 
  • Data entry 
  • Filing and scanning documents 
  • Keeping the front desk area organized 
  • Prior Authorizations and Work Lists 
  • Other duties as assigned
  • Participation in peer review activities and other quality/safety initiatives
  • Maintains required education set forth by the institution and department per policy
  • Adhere to all policies and protocols set forth by the institution

  Qualifications 

  • Required
    • High School Diploma or GED (minimum) 
    • Strong customer service and communication skills
    •  Ability to work in a fast-paced environment 
  • Preferred
    • Clerical or medical office experience preferred 
    • Familiarity with EMR systems (e.g., Epic, Cerner) 
    • Basic knowledge of medical terminology is helpful 

 Work Environment 

  • Exposure to infectious diseases, hazardous materials, radiation, and emotional situations 
  • Frequent standing, walking, lifting, and bending 
  • Direct patient and family contact 
  • Exposure to latex 
  • Use of electrical equipment
