JOB DESCRIPTION:
The Executive Assistant and Senior Operations Specialist, Shared Services, is an essential role that melds high-level administrative capabilities with financial expertise to support a dynamic department that works in service of the UVM Health Network. This individual is entrepreneurial, proactive and an agile problem-solver who can expertly manage two distinct and inter-related bodies of work - executive support and department financial management. Working in a hybrid environment, this individual is a resourceful self-starter and collaborative partner who prioritizes quality service in all aspects. Working directly with the Network Vice President of Communications and Engagement Strategies, this individual works with the appropriate discretion to manage executive administrative and scheduling needs. As the senior staff member of the department’s Operations team, this individual is focused on financial stewardship and oversees Shared Service budget management for yearly, quarterly and special project planning and tracking, and anticipates spending for internal and outsourced services. As a financial steward for the Shared Service, this individual works with ‘always’ focus on effectively managing costs, identifying duplication and nimbly explores available resources to support planned and unplanned projects. EDUCATION:
Bachelor’s degree preferred. Related professional areas would include communications, marketing, administration, project management or business.
EXPERIENCE:
• At least eight years of budget and reporting management experience.
• At least five years of proven experience in project/operations management in a high-volume, fast-paced environment. Related agency, creative or production experience a plus.
• Proactive problem-solving in the financial accounting and administrative space, with experience suggesting and achieving buy-in for new ideas.
• Experience in the digital management of projects from intake-through-end production and expertise in working with digital project management systems.
• A positive, proactive demeanor along with excellent listening, negotiating and problem-solving skills a must.
• A level of performance, service and necessary discretion to serve effectively as an executive assistant in a fast-paced environment.
• Overall department and project cost accounting expertise – planning, organizing, reconciling, forecasting.
